01 About this policy
Quick Pups (PUPS, we, us, our) respects
your privacy. This policy explains how we handle personal information in accordance with the Privacy
Act 1988 (Cth) and the Australian Privacy Principles (APPs).
It applies to everyone we deal with — senders, recipients, delivery partners, business customers, job
applicants and website visitors — and covers our website, mobile app, tracking dashboard, phone and email
enquiries, and our day-to-day delivery operations.
Personal information means information or an opinion about an identified individual, or an
individual who is reasonably identifiable, whether true or not and whether recorded in a material form or
not.
02 Information we collect & how
Identity & contact details
- Your name, business name, email address and phone number.
- Pickup and delivery addresses, including access instructions and authority-to-leave preferences.
- Recipient names and contact details that you provide to us when booking.
Booking & parcel information
- Parcel size, weight, declared contents, special handling notes and delivery instructions.
- Booking history, tracking references, delivery status, timestamps and proof-of-delivery records
including delivery photos, signatures and OTP confirmations.
- Notes from your interactions with our support team, including call, chat and email records.
Payment information
- Billing name and address, invoice records, transaction amounts and payment status.
- Card payments are processed by our third-party payment providers. We receive a confirmation and a
truncated card reference — we do not store your full card number or security code.
Location & device information
- GPS and location data from the app while a pickup or delivery is in progress.
- Device type, operating system, browser, IP address, language, and app version.
- Log data such as pages viewed, referring URLs, time and date of access, and error reports.
Delivery partner information
- Identity and right-to-work documents, licence and vehicle details, insurance details, background and
verification check outcomes, ratings and performance records, and payment details for remittance.
How we collect personal information
We collect personal information directly from you wherever it is reasonable and practicable to do so —
when you create an account, book a pickup, complete a form on our website, contact us by phone or email, or
use the app.
Sometimes we collect information about you from other people, including:
- a sender who provides your details as the recipient of a parcel;
- a business customer whose orders we deliver to you;
- delivery partners, who record pickup and delivery events, notes and proof of delivery;
- service providers such as payment processors, mapping and analytics providers; and
- verification providers, for background and identity checks on prospective delivery
partners (with their consent).
03 Why we collect & use data
We collect and use personal information for the following purposes:
- To provide the service — accept and schedule bookings, route and dispatch couriers,
collect and deliver parcels, and confirm delivery.
- To keep you informed — send tracking updates, ETAs, delivery notifications, delay
alerts and proof of delivery by push notification, SMS or email.
- To take payment — process transactions, issue invoices and receipts, handle refunds,
and recover unpaid amounts.
- To support you — answer enquiries, investigate delivery exceptions and resolve loss,
damage or delay claims.
- To keep people and parcels safe — verify identity at handover, prevent and investigate
fraud, theft or misuse, and protect our people and delivery partners.
- To improve our service — analyse delivery performance, route efficiency, app
usability, and aggregate service statistics.
- To meet legal obligations — comply with tax, record-keeping, transport, work health and
safety, and law enforcement requirements.
- To manage our network — assess, onboard and manage delivery partners, and process job
applications.
- To market our services — send offers and updates where you have consented or would
reasonably expect it, with an opt-out in every message.
If we cannot collect the information we need, we may not be able to accept a booking, deliver a parcel, or
respond to your enquiry.
Location & tracking data
Live tracking is a core part of our service. To provide it:
- We collect the delivery partner's device location while they are on an active job, so we can show the
courier's position, route and ETA to the customer waiting on that parcel.
- Senders and recipients see approximate courier location and progress for their own parcel only — never
a courier's location outside an active job, and never another customer's parcel.
- App users may allow location access to pre-fill pickup addresses. This is optional and can be turned
off in your device settings.
- Route and timestamp records are retained as part of the delivery record and may be used to investigate
claims, verify delivery, and improve routing.
Delivery partner location tracking is limited to active jobs. It is not used to monitor personal
movements outside working time.
Marketing & opting out
We may send you service updates, offers and promotions where you have opted in or would reasonably expect
to hear from us as a customer. Every marketing message includes a simple way to unsubscribe, and you can
also opt out at any time by emailing faizjass24@gmail.com with
“Unsubscribe” in the subject line.
Opting out of marketing does not stop transactional messages about a parcel you are
sending or receiving — pickup confirmations, tracking updates, delivery notifications and delivery
exceptions — because those are needed to deliver the service you booked.
04 Data sharing & disclosure
We do not sell your personal information. We disclose it only as needed to run our service and where the
law permits:
- Delivery partners — the pickup and delivery address, recipient name, contact number
and handling instructions required to complete that job.
- Senders and recipients — limited details needed to complete a delivery, such as the
courier's first name and live status for the relevant parcel, and proof of delivery to the sender.
- Service providers — hosting, cloud storage, mapping and routing, SMS and email
delivery, payment processing, analytics, customer support and IT security providers.
- Professional advisers — accountants, auditors, insurers and lawyers, where reasonably
necessary.
- Regulators and law enforcement — where required or authorised by law, by a court or
tribunal order, or to prevent a serious threat to life, health or safety.
- In a business transaction — a prospective buyer or successor, if our business is sold
or restructured, subject to confidentiality obligations.
Overseas disclosure
Some of the service providers we use — for example cloud hosting, communications and analytics platforms —
store or process data on servers located outside Australia, including in the United States, the European
Union and Singapore.
Before disclosing personal information to an overseas recipient, we take reasonable steps to ensure it is
handled consistently with the Australian Privacy Principles, including through contractual protections and
provider security assessments.
05 Security, retention & cookies
How we keep data secure
We take reasonable steps to protect personal information from misuse, interference, loss, and unauthorised
access, modification or disclosure, including:
- encryption of data in transit (HTTPS/TLS) and encryption of stored data where appropriate;
- role-based access controls, so staff and delivery partners see only what they need for their work;
- OTP-verified handover and tamper-evident handling procedures for parcels;
- secure, access-controlled hosting environments and regular software updates;
- staff and partner confidentiality obligations and privacy training; and
- secure destruction or de-identification of information we no longer need.
No method of transmission or storage is completely secure. While we work hard to protect your information,
we cannot guarantee absolute security.
How long we keep data
We keep personal information only for as long as we need it for the purposes described in this policy, or
for as long as the law requires. Delivery and tracking records are retained to resolve claims, tax records
are retained as required by Australian law (generally five years), and marketing preference records are retained
to honour opt-outs.
Data breach notification
We maintain a data breach response plan. If a data breach occurs that is likely to result in serious harm
to any individual whose information is involved, we will notify the affected individuals and the Office of
the Australian Information Commissioner (OAIC) as required by the Notifiable Data Breaches
scheme.
Cookies & analytics
Our website and app use cookies and similar technologies to keep you signed in, remember your preferences,
secure your session, measure performance and understand how our pages are used.
- Essential cookies — required for the site to function, including session and security
cookies.
- Preference cookies — remember choices such as your saved addresses or display
settings.
- Analytics cookies — help us see which pages and features are used, so we can improve
them.
You can block or delete cookies in your browser settings. We honour “Do Not Track” signals where supported.
06 Your rights & data access
You have the right to ask for access to the personal information we hold about you, and to ask us to
correct it if it is inaccurate, out of date, incomplete, irrelevant or misleading.
- Email faizjass24@gmail.com with your request and enough
detail for us to identify you and locate the information.
- We will respond within a reasonable period, usually within 30 days.
- There is no charge for making a request; we may charge a reasonable fee for the cost of supplying
information in a particular format.
- If we refuse access or correction, we will tell you why in writing and explain how you can complain.
- Many account details can be updated directly in the app or website at any time.
Sensitive information
We generally do not collect sensitive information such as health, biometric or criminal record
information. Where a background check is required for a delivery partner role, we collect that
information with consent.
Children's privacy
Our services are intended for people aged 18 and over, and we do not knowingly collect personal
information from children.
Third-party sites & apps
Our website and app may link to third-party services. Those services have their own privacy policies and
we are not responsible for their practices.
Dealing with us anonymously
You can browse our website anonymously. However, we cannot accept a booking, deliver a parcel or
investigate a claim anonymously, as contact details are required.
07 Complaints & policy changes
If you think we have breached the Australian Privacy Principles or mishandled your personal information,
please tell us so we can put it right.
- Email faizjass24@gmail.com with the subject “Privacy
complaint”, describing what happened and the outcome you are seeking.
- We will acknowledge your complaint within 5 business days and aim to complete our investigation and
respond in writing within 30 days.
- If you are not satisfied with our response, you can contact the Office of the Australian Information
Commissioner at oaic.gov.au or by
calling 1300 363 992.
Changes to this policy
We may update this policy from time to time to reflect changes to our services, technology or legal
obligations. The current version is always available on this page with an updated “Last updated” date.
